Team Administrators

In the Rugby Xplorer system,  There are two common types of administrators, Club and Team.  Every club must have a club admin as well as a team admin for each team.  For example, Charlotte has two men's and one women's team.  They are required to have one club and three team admins.  A club admin may also be a team admin, but one person may not be a team admin for multiple teams in case the teams are playing at separate locations. The team admin must be present at the match.

TEAM ADMIN

The team admin is assigned by the club admin in RX.  There may be more than one admin per team.  An individual must have a profile set up in RX prior to being assigned as a club/team admin.  The team admin cannot be anyone who is participating in the match as a player.  He/she can be a coach or touch judge.  His/her responsibilities include:

  • Adding the match day roster one day prior to the match

  • Tracking all scores, substitutions, and yellow/red cards

SQUAD MANAGEMENT

Once logged in to the app, go to Squad List at the bottom.  Ensure that club members are added to the squad by selecting any players, then go to the bottom to click on Add to Squad.  This will allow the players to be selected to the roster.

CREATE THE ROSTER

In the app, go to the Team Lists at the bottom.  You may need to change the division using the Competition dropdown at the top.  Find and select your match.  Add the player and the position.  Change the jersey number and add captain/vice as necessary.  Once done with all of the starters and subs, continue with the Match Officials section to add your coach(es).  Your previous match data may already be loaded allowing you to only make a few changes.  Select Submit

THE ROSTER MUST BE SUBMITTED BY 6PM ONE DAY PRIOR TO THE MATCH.   

MATCH DAY TASKS

The team admin is responsible for updating all scores, substitutions, and yellow/red cards during the match.  In the app, go to Matchday at the bottom.  Select your match, then select the blue 1st Half button to turn it green.  Just below are the buttons for scoring, movements and cards.  Add details as the events occur.  Once the match is complete, confirm with the opposing team admin and referee, and then select End.  No standings will update until submitted.  Discrepancies should be reported to the division director.

The matchday process has been updated (2/13/23) to the following:

  • Pre-Match meeting - prior to kickoff, the referee, 2 captains and 2 team admins shall meet.   

    • Confirm all pitch requirements (postpads, ropes, flags, paint, etc.)

    • Review of technical zone

    • Assign touch judges 

    • Clarify any RX issues

    • Confirm medical is onsite

    • The team admin may not be a player.  It can be a coach or spectator with access.

    • If a club has no one to handle the team admin duties, the opposing club may administer for both clubs.  The short side must communicate all pertinent actions (who scored, injuries, red/yellow cards).

  • Match - Team admin tracks scores, substitutions, and cards in the RX Match Day app.  If technical issues occur, write down the details to enter after the match.

  • Post Match meeting - Referee and Team admins meet to confirm the score, and any disciplinary cards including the player and infraction.  

    • The app had a dropdown of all possible reasons.  

    • The referee will be accountable to report all red card infraction details via the match report.  

    • The report shall include any other disciplinary actions such as coach and/or sideline activity.  

    • Division directors to confirm that the match is updated to “Result” in RX by noon the day after the match (i.e. by Sunday 12pm following a Saturday match).

Rosters - Team rosters must be submitted in RX by 6pm on the day prior to the match.  If it has not been submitted, there is a one-point bonus deduction in the standings.  Rosters may be updated after the initial submission up until kick-off.  It is the responsibility of the Team Admin to ensure the roster has been submitted. 

 

Results - Scores must be submitted in RX by noon on the day after the match.  If it has not been submitted properly, there is a one-point deduction in the standings.  “Properly” is defined as having the score by player, substitutions, and all yellow/red cards.  Team admins shall meet with the referee at the conclusion of the match to confirm the match details.  

 

Any team that accumulates 3 deduction points will be fined $100 and will be considered not in good standing until paid.  The team may not play until it is back in good standing.  Each additional deduction point after the initial fine will result in another $100 fine.
